Clearance FAQ's

Who can request a clearance for a member?

Any admin who has access to the organisations database can request a clearance for a member. A national or state admin can also do this but they must log into the club/organisation the member wants to transfer to and request the clearance from there.

Can a member who has been transferred use a registration form within that organisation to pay for club/organisation products?

No, if a member is part of a transfer/has completed a transfer, the member cannot use the club/organisation registration form to pay for products, as technically they are already now registered to that club/organisation, so the admin for that organisation will need to manually add products to that members profile. As of the next new registration season, the member can register as per normal to the organisation.

What happens to registration products/financial statuses when members transfer?

Depending on the scenario of the transfer, will depend on what happens to the products the members purchased from the old club/organisation. These are based on if a member had paid for national, state, association and club fees at their original club and how it will affect their financial status at each level. The national status/product will remain active as this won't be affected regardless of the scenario.

If a member is being transferred between different clubs within the same state and association, the state and association products/status will remain active against the members record, while the old club will need to refund the club product and the new club will need to manually add their club product to the members record.

If a member is being transferred between different clubs within different associations but the same state, the state products/status will remain active, and the old association and club will need to refund their products, while the new association and club will need to manually add their products to the members record.

If a member is being transferred between different clubs within different associations within a different state, the national products/status will remain active, and the old state, association and club will need to refund their products, while the new state, association and club will need to manually add their products to the members record.

If a member is being transferred between different clubs (and/or associations) within the same state, the state products/status will remain active and the old club and/or association will need to refund their products, while the new club and/or association will need to manually add their products to the members record.
